Law Firm Software Pricing in Canada (2026): What It Actually Costs

Almost every legal practice-management vendor prices in USD per user per month and shows Canadian firms no CAD figure at all — at the August 2026 exchange rate of 1 USD = 1.39404 CAD, a $49 USD/month seat is really about $68 CAD before tax, training, or payment-processing fees. One 2026 industry breakdown puts the combined effect of those extras at 20-40% above the sticker price.

Disclosure: DROZlegal publishes this guide and builds one of the products discussed below. Every figure below is sourced and dated; where a source disagreed with our own prior vendor-by-vendor research, we've flagged it rather than picked whichever number reads better.

The number on the pricing page isn't the number on your invoice

A managing partner sizing up software in July usually starts the same way: open five pricing pages, write down the monthly figure next to each vendor's name, pick the middle one. That number is real — it's just not the number that clears your firm's bank account. Two things sit between the advertised price and the actual cost, and almost nothing published anywhere addresses either one for a Canadian buyer.

The USD default and the CAD tax nobody shows you

Nearly every major vendor in this category prices in USD, full stop. Clio, MyCase, PracticePanther, Smokeball, Actionstep, CosmoLex — check any of their public pricing pages and the number you'll find is a US-dollar figure with no Canadian pricing page, no CAD toggle, nothing. That's not a hidden fee in the traditional sense; it's a floating currency exposure that changes every day the invoice runs, and no vendor pricing page we found discloses it.

1 USD = 1.39404 CAD as of August 10, 2026. A vendor's $49 USD/user/month tier costs a Canadian firm roughly $68 CAD/user/month at that rate — before sales tax, before any add-on, before a single payment-processing fee. Source: MTFX historical exchange-rate data, fetched August 2026.

That rate moves. A firm budgeting off a USD sticker price is implicitly taking on currency risk it never agreed to and usually never notices, because the credit-card statement just shows a CAD total with no line item explaining the gap.

What the market actually charges

Published per-user, per-month tiers cluster in a wide band across the vendors below — roughly USD $40 at the entry-level end to as high as USD $189 at the top tier, before the FX conversion above. We've done deep, vendor-by-vendor research on five of the most-searched names already, each independently claims-reviewed, and we'd rather point you to the specific figure than repeat a number a general aggregator reports differently:

  • Clio — the largest ecosystem, published tiers, USD-denominated.
  • MyCase — per-user, tiered; third-party trackers disagree on the exact spread, confirm at mycase.com.
  • Smokeball — per-user, tiered, with a mandatory 12- or 36-month contract on its official pricing page.
  • Actionstep — publishes no per-tier rate at all; every visitor is routed to a request-pricing form.
  • PracticePanther — the most transparent of the group: four published tiers, $49-124 USD/user/month, monthly or annual.

The hidden costs stacked on top of the sticker price

Payment processing is the biggest recurring one. Most vendors sell (or require) their own built-in payment product, and those run in a tight band regardless of brand: roughly 2.9-2.95% of the transaction plus a small flat fee, sometimes with an extra monthly premium for the feature itself. On a firm processing meaningful trust and operating volume through the platform every month, that percentage is not trivial.

One-time costs add up too. White-glove onboarding or training packages have been reported in the $1,500-3,000 range, and data migration fees vary by vendor and by how much history you're bringing over.

One 2026 industry pricing breakdown summarized the pattern this way: "the sticker price is only part of the story—payment processing fees, add-on costs, and hidden charges can increase your real cost by 20-40%." Source: CounselStack, "Legal Practice Management Software Pricing," published February 22, 2026. Treat that 20-40% as a reported industry estimate, not a number DROZlegal has independently verified — but it matches the direction of every hidden-cost category above.

Per seat vs per stack — the comparison that actually matters

Here's the part most pricing pages never make you do: a base practice-management subscription and an AI-native platform aren't the same purchase, so comparing their sticker prices head-to-head is comparing two different shopping carts. If your firm's real requirement includes AI-assisted drafting and research on top of matter management, the honest comparison is the base PM tool plus whatever you'd pay separately for that AI layer — not the PM tool alone.

Here's where DROZlegal fits, stated plainly, including the less flattering number first. DROZlegal's Solo tier is $649 CAD/user/month for a solo lawyer or a lawyer-plus-one setup — that is a higher per-seat sticker price than any single competitor's base tier listed above, even after the FX conversion. We're not going to pretend otherwise.

What that price includes, per our own product pages: AI document drafting, review, comparison, and research tools bundled in, not sold as separate line items. For firms with more lawyers, pricing moves to a flat per-firm model rather than per-seat: $5,999 CAD/month flat for 3-7 lawyers (17 seats included), $13,999 CAD/month flat for 8-25 lawyers (55 seats included) — every module included at every tier, with no per-module add-ons to negotiate. A growing firm's bill doesn't scale linearly with every new hire the way a strictly per-seat competitor's does.

The stack-cost math: pairing a base PM subscription with separately-priced AI tools already documented in our own competitive research — Thomson Reuters CoCounsel Core at roughly USD $225/user/month, or Spellbook at roughly USD $160/user/month — can approach or exceed DROZlegal's flat price once FX is applied, before counting the payment-processing and onboarding fees above. That's the comparison worth running for your specific headcount, not the base-tier sticker price alone.

A short checklist for comparing two real quotes

Ask for the CAD number, not the USD one. If a vendor won't quote CAD directly, get today's conversion rate and do the math yourself before you compare anything else.

Ask what's excluded. Payment processing, training, migration, and any AI features sold as add-ons should all be named explicitly, in writing, before you sign.

Price the stack you actually need, not the base tier. If your requirement includes AI drafting or research, add the cost of whatever tool fills that gap to every competitor's base price before comparing totals.

Confirm the contract term. A 12- or 36-month commitment changes the real annual cost math even when the monthly figure looks identical to a month-to-month competitor.

Frequently asked questions

Is legal practice management software priced in USD or CAD? Almost every major vendor prices in USD per user per month, with no published CAD figure. A Canadian firm pays whatever the live exchange rate is on top — at the 2026-08-10 rate of 1 USD = 1.39404 CAD, a $49 USD/month seat costs roughly $68 CAD before tax, add-ons, or processing fees.

What hidden costs come with legal software beyond the advertised price? Payment processing (roughly 2.9-2.95% plus a flat fee per transaction across the major vendors' built-in payment products), white-glove onboarding or training ($1,500-3,000 in reported cases), and data migration fees that vary by vendor. One 2026 industry pricing breakdown put the combined effect at 20-40% above the advertised per-seat price.

Is DROZlegal cheaper than Clio or MyCase? Not per seat — DROZlegal's Solo tier is $649 CAD/user/month, higher than any single competitor's base practice-management tier. The comparison that matters is per-stack, not per-seat: DROZlegal's price includes AI drafting, review, and research tools that would otherwise be bought separately on top of a base PM subscription.
